Write the Offer, Follow Up and Get Paid
Create your offer, schedule follow-ups and compare planned with actual hours after the project. Then issue the e-invoice and send a payment reminder if needed.
Your progress is stored only in your own browser (localStorage) and is not transmitted to our servers. Third-party resources (e.g. advertising and analytics from Google/Cloudflare) may transfer data when loaded.
This workflow guides you through the following steps:
- 1. Create an offer or cost estimate Enter line items at an hourly or fixed price, choose the VAT rate and validity period, and download the PDF with signature fields.
- 2. Plan your follow-ups Enter the offer you sent and a follow-up interval, then export the reminders as an ICS file for your calendar.
- 3. Compare actual hours with the plan After the project, compare planned with actual hours for each line item and check the percentage difference.
- 4. Issue the invoice Create the e-invoice as XRechnung or ZUGFeRD using the line items from your offer.
- 5. Send a payment reminder If the invoice remains unpaid, create a payment reminder with a deadline.

An offer PDF, scheduled follow-ups in your calendar, a project cost review, an e-invoice and a payment reminder if needed, covering the process from the first offer to a paid invoice.
Why these steps in this order
The offer sets the scope, follow-ups secure the job, the project cost review improves your next estimate, and the invoice and payment reminder help you collect payment.
