Dunning / payment reminder generator: from reminder to final notice
When an invoice stays unpaid, a clean dunning process usually gets you paid faster than litigation. The generator on studio-tools.online builds a formal letter for every stage in seconds: payment reminder, first notice, second notice and final notice before handover. It takes the invoice number, date, due date, open amount, dunning fee and a new payment deadline.
The special feature: every notice automatically gets a GiroCode (SEPA QR code) printed on it. The debtor scans it with their banking app and pays by transfer without typing the bank details. It contains IBAN, BIC, recipient and the reference.
How it works
The generator first asks for the invoice data: invoice number, date, due date and the open amount. Then you select which dunning stage to create: a friendly payment reminder, the first notice, the second notice, or the final notice before legal action. For each stage the appropriate wording and a new payment deadline are chosen. The GiroCode is automatically generated and printed on every notice.
What it can and cannot do
This tool creates a structured dunning letter for every stage with an integrated GiroCode. It cannot replace legal advice. A payment reminder is not a notice and is not subject to formal deadlines. Default under § 286 BGB with consumers usually begins after an invoice with a due date. Dunning fees should be reasonable and traceable, not arbitrary. For legal proceedings you need proof of receipt, such as registered mail. The tool provides no legal counsel and no assessment of individual dunning situations.
Why local processing in the browser
All data – invoice number, amounts, parties – stays on your device. Nothing is transmitted to a server or stored. Especially for dunning letters containing sensitive financial data, local processing is an important safeguard. After the page loads, the tool works offline because all assets are cached locally.
Frequently asked questions
What is the difference between a payment reminder and a notice?
A payment reminder is a friendly reminder shortly after the due date and is not a formal notice. A notice sets a fixed deadline and may include dunning fees.
Do I need to be online for this?
No. After loading the page the tool works offline. Everything runs locally on your device.
Are my data uploaded?
No. All inputs stay 100 percent local in your browser. Nothing is transmitted or stored.
How high can the dunning fee be?
The dunning fee should be reasonable and traceable. It is usually limited to the flat fee under § 288(5) BGB and is not arbitrary.
Can I use the stages individually?
Yes, you can create each stage individually, from the payment reminder to the final notice.
Does the dunning letter replace legal action?
No, it is a structural template. For legal action you need proof of receipt, such as registered mail.
